Privacy Policy

At Manchester Psychiatry Clinic, we take your privacy and the security of your medical data seriously. We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the strict confidentiality standards outlined by the Care Quality Commission (CQC) and the Caldicott Principles.

This policy explains what information we collect, why we collect it, how it is kept secure, and how you can control your data when you use our website, book an assessment, or interact with our online advertisements.

1. The Information We Collect

When you visit our website or become a patient, we may collect the following types of information:

  • Personal Identifiable Information (PII): Your name, date of birth, contact number, email address, and home address.

  • Special Category Data (Health Data): Medical history, GP details, ADHD screening questionnaires (including QbCheck data), psychiatric evaluations, and treatment plans.

  • Technical & Usage Data (Cookies): When you browse our website, we automatically collect data such as your IP address, browser type, device identifiers, and information about how you interact with our web pages (e.g., which packages you view).

2. How We Use Your Data

We will only use your data when the law allows us to. We process your data for the following purposes:

  • To Provide Medical Care: To conduct your ADHD assessment, process psychological questionnaires, deliver clinical reports, and arrange NHS shared care (where appropriate).

  • For Administrative Purposes: To manage your bookings, handle payments (via secure partners like Klarna), and communicate with you about your appointments.

  • For Website Analytics & Advertising: We use anonymized tracking data to measure the performance of our website and our Google Ads campaigns. We use this data to improve our services and understand search trends (e.g., how users find our clinic).

Important Note on Medical Advertising: Because we are a healthcare clinic, we respect strict advertising limitations. We do not use your personal medical data or your website visit history to build personalized remarketing (retargeting) campaigns. If you search for ADHD assessments and click our ad, your health data remains entirely confidential.

3. Who We Share Your Data With

We do not sell your personal data. We only share information with authorized third parties strictly necessary for your care or our clinic’s secure operation:

  • Your NHS GP: With your explicit consent, we share your diagnostic report and treatment plan for shared care agreements.

  • Clinical Partners: We work with accredited partners, such as Clinical Assessments Limited (CAL), to conduct elements of your evaluation like the QbCheck.

  • Technology & Analytics Providers: We use trusted software systems (e.g., secure clinical record software, Google Analytics, and payment processors). These providers act as Data Processors and are legally bound by UK GDPR Data Processing Agreements to keep your data secure.

4. Cookies and Advertising Tracking

We use standard cookies to ensure our website functions correctly and to measure the success of our search advertising.

  • Google Analytics & Google Ads: We use Google tags to measure ad performance and general website traffic. These tools may collect your IP address and device identifier.

  • Your Consent: For non-essential tracking cookies, you have the right to opt in or opt out. No advertising tracking will fire until you actively consent via our cookie banner.

  • How to Opt Out: You can withdraw your cookie consent at any time via the settings on our website. You can also manage your Google ad personalization globally by visiting Google’s My Ad Center.

5. Data Security & Retention

We implement industry-standard encryption, secure access controls, and robust IT protocols to protect your sensitive healthcare data from unauthorized access, alteration, or disclosure. We retain your medical records in accordance with standard UK medical retention guidelines (typically up to 8 years after your last appointment), after which it is securely deleted.

6. Your Rights Under UK GDPR

Under the UK GDPR, you have complete control over your data. You have the right to:

  • Request Access: Ask for a copy of the personal and medical data we hold about you.

  • Request Correction: Ask us to correct any incomplete or inaccurate information.

  • Request Erasure (Right to be Forgotten): Ask us to delete your personal data where there is no legal or medical requirement for us to retain it.

  • Withdraw Consent: Where you have provided consent (e.g., for cookies or sharing data with a GP), you can withdraw it at any time.
